1B2B Commercial Nature of Chemical Goods

As an industrial distributor of pharmaceutical excipients, personal care and home care raw materials, and specialty chemicals, all products handled by SP Specialty Ingredients are sensitive to environmental exposure, temperature variation, and cross-contamination.

Consequently, return policies in industrial chemical distribution operate under rigorous regulatory safety criteria (FDA, GMP, and Indian chemical transport rules) to prevent adulteration and preserve quality integrity for all customers.

2Pre-Shipment Quality Approval & Sampling

To minimize commercial returns and eliminate formulation mismatches, we provide:

  • Lot-Specific Certificates of Analysis (COA): Provided prior to order confirmation so your analytical QA team can review all assay, viscosity, pH, and purity parameters.
  • Laboratory Evaluation Samples: Free laboratory sample quantities for bench trials, compatibility checks, and stability validation.
  • Material Safety Data Sheets (MSDS): Detailed handling, storage, and toxicology documentation provided with every formulation batch.

3Return Eligibility & Specification Discrepancies

Returns and replacements are accepted under the following verified circumstances:

Eligible for Replacement / Credit

Material delivers assay or physical characteristics that statistically diverge from the agreed lot-specific Certificate of Analysis.

Consignment packaging arrived damaged, compromised, or unsealed due to verified transit failure with signed carrier LR notations.

Ineligible for Return

Opened, partially decanted, contaminated, or improperly stored drums/carboys (e.g. failing recommended temperature storage).

Custom-ordered specialty batches, non-standard blends, or commercial cancellations requested after dispatch from Bhiwandi.

4Return Material Authorization (RMA) Protocol

  1. Notification Window: Claims must be formally submitted within seven (7) calendar days of receiving the consignment at your facility.
  2. Submission of Evidence: Email info@spspecialty.com with your Purchase Order number, Batch/Lot number, photos of drum seals/labels, and an analytical laboratory test report illustrating the variance.
  3. RMA Issuance: Our technical quality committee reviews the report against counter-samples retained at our Bhiwandi facility. If verified, an official RMA number is issued within 3 business days.
  4. Resolution: Upon receipt and inspection of the authorized returned stock, SP Specialty Ingredients will immediately provide an exchange batch, or credit note toward future material orders, as mutually agreed in writing.
